What eats the week
The work is good. The follow-through leaks.
Specialist contractors rarely lose jobs on workmanship. They lose them in the gaps between enquiry, quote, site and invoice.
- 01
Enquiries land on the boss’s phone
A homeowner sends 3 photos at 9pm on Saturday. You see them between sites on Monday. By then she has called two other contractors.
About 1 in 3 enquiries go cold - 02
Quotes take a week
Inspection notes on paper, photos on the technician’s phone, and the quote typed from an old Word file when someone finds the time.
5–7 days from inspection to quote - 03
Clients call to ask how it’s going
Property officers and condo managers ring the PM for status, because the only record is 40 photos in a group chat.
6+ status calls a day - 04
Site updates get rewritten at night
Supervisors send photos and a voice note in Mandarin or Bengali. The PM turns them into a client message after dinner.
1.5 hours of PM time, daily - 05
Expired permits found on site
Pass expiry dates live in a spreadsheet nobody opens until a worker is already rostered. One expired pass leaves a crew short for the day.
A crew short, a day lost - 06
Claims go out late, cash comes in later
The 40% milestone passed last week but the claim is still a draft. Invoices past 60 days get chased when the boss remembers.
Overdue money nobody owns
What we build
One loop, from enquiry to collection.
Every message, form and photo feeds one job record. The system writes the client updates, watches the permits and chases the money. People approve the parts that matter.

How a leak enquiry is handled
One ceiling leak, two ways.
A homeowner sends photos of a dripping bathroom ceiling on a Saturday night. Here is the same job, start to cash, handled today and with the system.

Rollout
How we would roll this out.
We start with one department and the workflow that costs you the most, prove it works, then expand. Nothing goes live without your sign-off.
- Week 1–201
Map the loop
We sit with you, your PM and one supervisor, and map how enquiries, inspections, quotes, updates and claims really flow. We pick the leak that costs the most.
- Week 3–502
Front desk + site updates
WhatsApp enquiry bot, inspection booking and the 60-second daily update go live on real jobs. Supervisors learn it in one toolbox talk.
- Week 6–803
Permits + claims
Pass register and roster guard, claim milestones, Day 7 / 14 / 30 reminders and the Xero sync. Your 7am brief switches on.
- Ongoing04
Run and expand
We host, monitor and improve it every month. Next up is usually quotations from the 2nd Brain, completion reports and marketing.
FAQ
Questions owners ask us.
Our supervisors aren’t tech people. Will they use it?+
They already use WhatsApp. The update is photos, a voice note in their own language and three taps. If they can send a photo to a group chat, they can do this.
Will the bot quote prices to customers?+
Only ranges you have approved, taken from your past jobs and clearly marked as a guide. Every actual quotation is checked by your PM before it goes out.
Our town councils each want things in their own format.+
The system reads work orders from email and produces updates, reports and invoices in the format each council expects. Where a portal has no connection, it prepares the file and a person uploads it.
What about worker data and PDPA?+
Pass numbers are masked, access is by role, and everything runs on your own dedicated server. Worker records never go into a public AI tool.
Do we need to change accounting software?+
No. It works with Xero, QuickBooks or Excel. Claims and payments sync both ways, and your accountant keeps working the way they do now.
What if the AI gets a client message wrong?+
Routine updates go out on their own. Anything with a delay, damage, extra works or a complaint waits for your PM. You set those rules and can tighten them any time.
