What eats the week

Paid for the lead. Lost it by morning.

Most service businesses pay for plenty of leads. They lose them in the first hour, after the first follow-up, or on a call nobody prepared for.

  1. 01

Leads go cold in the first hour

A founder fills in your Meta form at 9:14 pm. Someone replies at 11 am the next day. By then she has spoken to two other firms.

    3h 40m average first reply
  2. 02

    Follow-up stops after one try

One WhatsApp, one email, then the lead sits in a spreadsheet tab called "follow up". Nobody owns the fourth touch.

6 in 10 leads get one touch or fewer
  3. 03

    Reps walk into calls cold

They skim the form two minutes before and ask questions the lead already answered on WhatsApp. Research happens on the call, if at all.

15 min of prep per call, usually skipped
  4. 04

    No-shows eat the calendar

One in three booked calls does not show. The rep waits ten minutes, closes the laptop, and nobody chases.

    ~35% no-show rate, unrecovered
  5. 05

Nobody knows which ad makes money

Meta says 148 leads. The CRM says 11 clients. Nobody can join the two, so budget follows cost per lead, not cost per client.

S$14,800 a month, judged on the wrong number
  6. 06

    The founder is the CRM

The pipeline lives in your head and your WhatsApp. Every Monday meeting starts with "where are we on…" and promises made on calls get forgotten.

Rollout

How we would roll this out.

We start with one department and the workflow that costs you the most, prove it works, then expand. Nothing goes live without your sign-off.

  1. Week 1–201

    Map the funnel

We export 90 days of leads, measure your real reply times and show rate, and write Lana’s script and hand-over rules with you.

  2. Week 3–502

    Speed to lead

Lana goes live on your biggest lead source with the team inbox for hand-over. Leads land in one sheet, scored, with a research brief.

  3. Week 6–803

    Follow-up and briefs

Sequences, no-show rescue, call briefs and the Revenue OS with cost per client. Proposals drafted from call recordings, approved by you.

  4. Ongoing04

    Run and expand

Weekly tuning from real call outcomes, more lead sources, the referral flywheel, and the 2nd Brain answering on WhatsApp.

FAQ

Questions owners ask us.

Will leads know they are talking to AI?+

Yes. Lana introduces herself as the AI assistant in the first message. The moment someone asks for a person, the chat moves to your team inbox and Lana stops replying.

Are we allowed to WhatsApp leads from ads?+

Only leads who opted in. Consent is captured on the form in PDPA wording, the first message is a WhatsApp-approved template, and STOP ends every sequence on every channel.

What if Lana gets a question she cannot answer?+

She answers only from what you approve: services, price ranges, FAQs and your calendar. Tax, legal, medical or anything outside the script goes to a person, with the chat history attached.

Does this replace our salespeople?+

No. It gives them more booked calls and walks them into each one prepared. The AI never closes a deal, and every proposal and price is approved by a person.

Do we need to change our CRM?+

Usually not. It works with HighLevel, HubSpot, Pipedrive or a well-kept Google Sheet. We reuse what you have where it makes sense.

Can you guarantee more sales?+

No responsible implementation can guarantee a specific financial result. We agree measurable targets up front, such as median first reply under 60 seconds and show rate, and report against them weekly.

Next step

See your business in one of these. Then we build it.

Book a 30-minute call. We map one workflow that costs you the most time, show you what it looks like automated, and tell you honestly if it is worth doing.
