What eats the week

Great teaching, buried under admin.

Most centres we meet run on WhatsApp, a shared Google Sheet and one admin who knows where everything is. It holds up until term starts.

  1. 01

Parents message at 10pm. You reply at 9am.

By then they have asked two other centres. The first one to answer with a real trial slot usually gets the child.

4–6 h a week typing the same replies
  2. 02

Learners get stuck at night and quietly drop off.

An adult learner hits #N/A at midnight, has nobody to ask, and skips the next session. Two misses later they are gone.

    1 in 5 stall before module 3
  3. 03

Every intake, the quizzes are rewritten by hand.

The course notes changed in August. The post-test did not, so it still tests things you no longer teach.

~6 h per course, per update
  4. 04

Grant claims are chased one learner at a time.

A claim needs 75% attendance, a Competent result and a finished survey. One missing survey and the whole claim sits there.

    S$3k–9k waiting each quarter
  5. 05

    Procedures change and nobody notices.

The refund policy was updated in a WhatsApp group. Half the front desk still quotes the old one to parents.

    3 versions in circulation
  6. 06

The director finds out on Friday.

Who is falling behind, which class is emptying, which claim is stuck: it is all there, but only after someone builds the spreadsheet.

2–3 h every Monday on reports

Searchable lessons

Every word in every lesson, searchable.

Recordings are transcribed on your own server, so a learner can type '#N/A' and land on the minute the trainer explains it. The AI tutor quotes the same transcripts.

So for two conditions you don't need two lookups. You multiply the two tests. Only the rows where both are true give you a one, and then you just look up the one.

Rollout

How we would roll this out.

We start with one department and the workflow that costs you the most, prove it works, then expand. Nothing goes live without your sign-off.

  1. Week 1–201

    Map enquiry to certificate

We sit with your front desk, one trainer and whoever files the grant claims. We map where enquiries, registers and documents live today, and pick the first workflows.

  2. Week 3–502

    Front desk goes live

WhatsApp enrolment desk, trial bookings, reminders and the team inbox. Your class sheets stay; the bot reads and writes them.

  3. Week 6–803

    Classroom and claims

Lesson transcripts and the AI tutor, quiz drafting, attendance by voice note, certificates and the grant claim pack.

  4. Ongoing04

    Run, measure, expand

A monthly look at what the agents did and what they asked you. Add a campus, a corporate client or a new course type when you are ready.

FAQ

Questions owners ask us.

Will the AI tutor just give learners the answers?+

No. It answers only from your course material and cites the lesson and timestamp for every answer. On graded work it gives hints and points to the right lesson, never the answer. If it cannot find a source, it hands the question to the trainer.

What about PDPA and children’s data?+

Everything runs on a dedicated server in your name, not a shared app. Parents give consent at enrolment, photos wait for a consent check, and each corporate client only sees its own staff. On a delivered project, 68 automated checks prove one client cannot see another client’s data, and they run before every new client is onboarded.

Does it file our SSG grant claims?+

It prepares them. It checks attendance, assessment results and surveys for every learner, chases what is missing and builds the claim pack. Your staff file it in the SSG portal. Nothing is submitted or invoiced without a person approving it.

Who marks the short answers?+

Your teachers. The Grader drafts a mark and a one-line reason against your rubric and groups similar answers so review is quick. The teacher approves or changes every mark before a learner sees it.

We already use Google Classroom and a booking app. Do we have to switch?+

Usually not. We connect to what you have where it has an API or an export, and keep your Google Sheets registers. Where a tool has neither, we tell you before we start rather than work around it.

How soon do parents notice a difference?+

The WhatsApp enrolment desk is normally the first thing live, a few weeks in. Parents see faster replies and real trial slots straight away; the classroom and grant pieces follow.

Next step

See your business in one of these. Then we build it.

Book a 30-minute call. We map one workflow that costs you the most time, show you what it looks like automated, and tell you honestly if it is worth doing.
