Eleven rentals, a sales pipeline, one phone.
For agents who also own the units they let. Lana answers every portal lead in under a minute, rent is matched to PayNow credits, repairs are triaged and booked, and a 07:00 brief on WhatsApp brings you only the decisions.

What eats the week
Two jobs, and the admin of both.
An agent who is also a landlord runs a rental business and a sales business from the same phone, usually in the car between viewings.
- 01
40+ messages a week, all “urgent”
Tenants, portal leads, vendors and lawyers across WhatsApp, email and two portals. Each one expects a same-day answer, and each one lives in a different app.
40+ threads a week - 02
Enquiries that arrive at 11pm
Portal leads come in after dinner and go cold by morning. On a good day the first reply takes 42 minutes; after an evening of viewings, much longer.
42 min median first reply - 03
Empty days nobody counts
Marketing starts after the keys come back, so the average gap between tenants is 21 days. On a S$4,900 unit that is S$3,430 gone, plus the mortgage.
21-day average void - 04
Rent chased from memory
Two or three rents a month need a nudge, and checking the bank app for each PayNow credit is its own chore. A week’s delay is where arrears become a payment plan.
S$3,900 now 23 days late - 05
Renewals decided on gut feel
Nine lease expiries, HDB rental approvals and insurance dates sit in your head. The renew-or-re-let maths never gets done, so good tenants leave over S$200.
S$8,740 at stake on one lease - 06
Evenings spent on the wrong work
A rental viewing earns about S$154 an hour; a sale completion about S$1,110. The admin around both eats the evenings you would spend on sellers.
31.5 h a month of admin
What we build
One workspace for the portfolio and the pipeline.
Messages, ledgers, leases and deals flow into a system on your own server. Agents do the routine and bring you the decisions, with the numbers.

Before / after
What changes, in numbers.
Illustrative figures from a demo model of an 11-unit portfolio and a one-agent sales desk. Not client-reported results. Your numbers depend on volumes and the workflows we automate first.
Rollout
How we would roll this out.
We start with one department and the workflow that costs you the most, prove it works, then expand. Nothing goes live without your sign-off.
- Week 1–201
Map the portfolio and the rules
Load the 11 units, 9 leases, loans, vendors and open deals into the vault. Write down your rules: the S$400 standing authority, the arrears ladder, when to renew and when to re-let.
- Week 3–502
Leasing and rent
Lana goes live on your WhatsApp Business number with portal-email parsing. PayNow matching from bank alerts and repair triage follow. Everything runs in draft mode first.
- Week 6–803
Sales and renewals
Deal Desk deadlines, Lease Watch, listing drafts, the meeting recorder and the 07:00 brief. You approve from WhatsApp from day one.
- Ongoing04
Run and expand
Monthly owner statements, CPD and licence reminders, new rules written in plain English. We tune lead scoring against which viewings actually turned into offers.
FAQ
Questions owners ask us.
Will Lana negotiate rent or make promises for me?+
No. Lana qualifies, books and answers facts from your listing notes. Any price, term, offer or legal question goes to you in the team inbox with a suggested reply. Nothing about money is sent without your tap.
Does it work with PropertyGuru and 99.co?+
There is no official connector for the portals, so we read the enquiry emails they send you, and publish listings through a browser session you log in to yourself. We never bypass a login or verification step.
How does it know rent has been paid?+
Your bank’s PayNow credit alerts, or a daily statement export, are matched to the ledger by amount and a per-unit reference. Anything that doesn’t match exactly is flagged to you, not guessed.
What about PDPA and CEA requirements?+
Leads are told they are talking to an assistant, consent is logged, and the vault lives on your own server. CDD checks and estate agency forms are tracked per deal, and a weekly check flags CPD, licence and insurance dates.
Can my tenants still reach me directly?+
Yes. The bot handles the routine, and anyone can ask for you by name. You see every thread in one inbox and can take over at any point; the bot pauses while you type.
I only have three units. Is this overkill?+
The shape is the same at 3 units or 30. With a small portfolio we would start with Lana, rent matching and the morning brief, then add renewals and owner statements as you grow.
