Run 10 outlets from one phone.

Every outlet’s close, labour, wastage, supplier bills, bookings and reviews land in one 07:00 brief on WhatsApp. When a number moves, ask why, and get the answer with the receipts.

What eats the week

Ten outlets, ten group chats, one tired owner.

The numbers exist. They’re just spread across POS exports, manager chats, paper logs and one person’s inbox, so the owner sees last week’s problems next week.

  1. 01

    Blind until Monday

Sales, labour and wastage sit in 10 POS exports and 10 manager chats. Someone spends half of Monday building last week’s report, so problems surface a week late.

Half a day a week, a week late
  2. 02

    Closing by hand, every night

Managers count cash, photograph the Z-report and type figures into a sheet. A S$50 gap turns up three days later, when nobody remembers the night.

30–45 min per outlet, per night
  3. 03

    Rosters that don’t flex

The roster goes out on Sunday. When a 120-pax dinner cancels on Wednesday or the head chef goes on MC, nobody re-cuts it, and overtime creeps up.

    One outlet at 34.8% labour
  4. 04

Suppliers bill above the agreed price

Price locks live in one person’s email. An invoice gets paid if the quantity looks right, so a S$1.40/kg creep on prawns runs for weeks.

S$392 on one supplier in one week
  5. 05

    Bookings and reviews at midnight

Enquiries arrive on WhatsApp and Instagram at 11pm and wait for the morning. A 2★ review about a short-staffed Sunday never gets back to whoever wrote the roster.

    ~10% no-shows · ~30% of reviews answered
  6. 06

    Nobody can just ask

“Which outlet had the worst labour last week, and why?” costs someone an afternoon of spreadsheets. A 10-restaurant group we work with now asks its 2nd Brain instead.

    An afternoon per question

What we build

Every outlet feeds one brain.

It runs on your own server and connects to the POS exports, WhatsApp groups, inboxes and review pages you already use. Managers keep working the way they do now.

The same system at the small end. The owner of an Ang Mo Kio HDB coffeeshop sends four photos at closing; the bot reads them and reconciles cash, PayNow, NETS, CDC and GrabFood.

Rollout

How we would roll this out.

We start with one department and the workflow that costs you the most, prove it works, then expand. Nothing goes live without your sign-off.

  1. Week 1–201

    Map the group

We sit with your ops lead and two outlet managers, map closing, ordering and rostering, and load outlets, suppliers, price locks and SOPs into the 2nd Brain.

  2. Week 3–502

    Outlet ops first

Nightly close from photos, the 07:00 brief and the group dashboard. Two pilot outlets for a week, then all of them.

  3. Week 6–803

    Supply and people

Orders by voice note, invoice checks against the price book, roster flex on cancellations and MCs, and the review desk.

  4. Ongoing04

    Run and expand

Reservations bot, central-kitchen plan and the compliance register. A monthly look at what the agents did and what they asked you.

FAQ

Questions owners ask us.

Does it work with our POS?+

Usually through the POS’s daily CSV or Sheets export, or its API if it has one. If an outlet only has a printed Z-report, the bot reads the photo.

Our managers write in Chinese, Malay and Singlish. Is that a problem?+

No. Voice notes and messages are understood in the language they come in. Orders to suppliers go out in the supplier’s language with English underneath, so there’s always an audit trail.

Will it place orders or message guests without us?+

Only inside limits you set. Standing orders under a threshold (S$800 in this demo) at contracted prices can go on their own. Anything over it, a new supplier, a dispute, a refund or a published roster waits for a person.

What about PDPA and guest data?+

Guest details stay on your own server and in your own accounts. The reservations bot asks before saving preferences like allergies, and you decide how long records are kept.

How do licences and hygiene records work?+

You keep the register; the system tracks it. It reminds the right person, assembles renewal packs from Drive and chases missing service reports. Submissions and fees always need your approval, and the register is set up with you rather than assumed.

We run one coffeeshop, not ten outlets. Is this for us?+

Yes. The kopitiam example is the small end: nightly close from photos, stall rent tracking and one morning message. We start with the single workflow that costs you the most time.

Next step

See your business in one of these. Then we build it.

Book a 30-minute call. We map one workflow that costs you the most time, show you what it looks like automated, and tell you honestly if it is worth doing.
