We don’t sell you another app. Your site already runs on WhatsApp, paper and one tired supervisor.

Our model: 30 active jobs, 6 supervisors, ~60 workers, a 6-day week, ~15 jobs closing a week. Photo counts come from one sample completion report (~41 photos on day one). We replace these with your numbers in discovery.

05The 12 messes

Twelve messes. None of them dramatic.

None of these is dramatic on its own. Together they cost a 30-job contractor two full-time people’s worth of admin, plus the claims and extras that slip through.

  1. M01

    “Which job is this photo from?”

    Workers post photos into whichever group is open: the TC group, the team group, a subcon group, a group from a job that finished in 2024. Nothing carries a job number, unit, stage or before/after tag. Three weeks later the QS needs the “after” photos for Blk 128A kitchen, and someone scrolls for 40 minutes.

    Supervisors retyping forms at night

    Toolbox sheets and inspection forms get filled on paper, photographed, sent on WhatsApp, then retyped into Excel or Word after hours. Handwriting is unreadable, names are misspelt, and the same worker appears three ways.

    The PTW is “signed later” at the office because the PM wasn’t on site. The toolbox attendance includes a worker who was at another job. A form signed after the work is worthless as a safety control, and worthless as evidence after an accident.

  4. M04

    Lost photos hold up the claim

    The claim can’t go out because the “after” photos for 6 units are missing, or the MA won’t sign the completion form without them. Miss this month’s claim date and you wait for the next cycle, while levy, dorm and wages still go out every month.

  5. M05

    Completion reports built by hand in Word

    Open last month’s report, change the address, drag in 40 photos, resize them, type “Living hall – Photo 7”, paste the signed form, export to PDF, email it. Then the MA asks for a different photo order.

  6. M06

    Expired certs found at audit

    A worker’s CSOC lapsed. A harness tag is a month overdue. bizSAFE renewal is next month and nobody booked the auditor. All the dates live in one admin’s Excel, if anywhere.

  7. M07

    Stop-work orders

    MOM issued 58 stop-work orders in 2024 and 28 in the first half of 2025. NEA can stop a site over mosquito breeding. The site stays stopped until the fixes are verified.

  8. M08

    Instructions lost in translation

    Workers from Bangladesh, India, China, Myanmar and Thailand. The toolbox talk is in English or Singlish, the RA is in English, and the voice notes come back in Bengali or Tamil. Instructions get lost, and so does the evidence: “finished already”, with no photo.

  9. M09

    Extras agreed on WhatsApp, never billed

    “Boss, corridor side also got crack, can add?” “Ok just do.” The work gets done and never written up. No VO, no written confirmation inside the contract window, nothing to show at final account.

    Confirming verbal instructions in writing, inside the contract window, is what protects a variation. Incomplete claims are a top-3 cause of disputes.[19][20]

    Defect lists in Excel

    The defect liability period runs 12 months. In month 9 a resident calls: the leak is back. Which team did it? Which membrane? Where are the before photos? The defect list is 400 rows of Excel with no photos.

    Which MA wants photos in which order. The SOR rate for re-sealing on the last TC term. Which subcon is reliable for roofs. It sits in the director’s head and his WhatsApp history. When he’s on leave, work slows. When a senior PM leaves, it’s gone.

FAQ

What contractor bosses ask us.

My workers aren’t tech-savvy. Will they use it?+

They already use WhatsApp every day. For most updates they send a photo or a voice note to one number, in their own language, and the system does the tagging and translating. Supervisors get simple phone forms with big buttons, and signing only works on site. We train supervisors on site, not in a classroom.

Do I have to change my WhatsApp groups?+

No. Keep your groups for talking. The bot is one extra contact: workers send job photos to it directly, and supervisors can forward anything from a group to it. WhatsApp’s official business tools only allow small groups, so we don’t rely on reading your big groups. That also means we are not reading your private chats.

Is my data safe? What about PDPA?+

Records stay in your own Google Drive or SharePoint, or on a server in the Singapore region. Access is by role: workers see their jobs, clients see only theirs, and prices stay with management. Residents’ details and unit numbers are masked on client portals, and everything has an audit log. PDPA fines can reach 10% of Singapore turnover (or S$1M), so we set retention and access rules with you from day one. You own the data and can export it at any time.

How long does it take to set up?+

Discovery takes a few working days: we sit with your supervisors and admin and follow one real job. The first workflow (usually photos and completion reports) is typically live in about 4–6 weeks, with weekly releases after that. Our last contractor build had its first usable version in about six weeks (a sample figure, pending the client’s confirmation). It depends on how many forms and clients you have.

Does it work with my existing Excel and accounting?+

Yes. We import your current job list, SOR rates, worker list and cert dates from Excel. Reports and claim packs export to Excel or PDF in the formats your clients already accept. Where your accounting system has an export or an API, claims and invoices can flow into it. If it doesn’t, we produce a clean file your accounts team can import.

What if the AI gets it wrong?+

It will sometimes, so it never has the last word. When it isn’t sure which job a photo belongs to, it asks the supervisor (“Blk 128A or 130? Tap 1 or 2”). VOs, reports, claims and anything that goes to a client or an authority stay drafts until a named person approves them. The original photo and message are always kept, so any tag can be checked and fixed.

Will MOM and my clients accept digital forms?+

The PTW rules say the permit must be applied for, evaluated, issued by the PM, posted at the work area and kept. They set the process, not the paper. We build your existing procedure into the app so the steps can’t be skipped, and every signature carries a location and a time. E-permit systems are already on BCA’s list of pre-approved productivity solutions, so digital permits are an established idea. Your WSHO signs off the digital procedure before go-live.

What does it cost, and is there support?+

We give a fixed quote after discovery, and support continues after go-live. On funding, be careful: qualifying AI spend may get a 400% tax deduction on the first S$50,000 a year for YA 2027 and YA 2028 under the Enterprise Innovation Scheme (hardware and grant-funded spend are excluded, and there is no cash payout for the AI category), so check with your tax adviser. PSG only covers pre-approved vendor solutions. A custom build like ours is not on that list, so please don’t plan around a PSG grant.
