RFQ in. Quote out the same day.
For Singapore E&I contractors and switchboard builders. The system reads your RFQs, drafts the BOQ, tracks every board to FAT and turns WhatsApp fault calls into service jobs. Estimators still own the price. Licensed people still sign off.

What eats the week
Where an E&I job leaks time.
Six places the week goes, from the RFQ inbox to the service call. Most of it is retyping, chasing and searching.
- 01
RFQs sit in an inbox
A tender email arrives with three PDFs and a BOQ. Someone retypes 40 lines into Excel before pricing even starts, while the submission date gets closer.
2–3 days to a first draft - 02
Past prices live in one head
The estimator who priced the last data hall knows the busbar rate. When he is on leave, the quote waits or goes out thin.
Margin guessed, not checked - 03
Boards stall on one missing part
A DB can’t be wired because four MCCBs sit on a DO nobody matched to the PO. You find out the day before FAT.
FAT slips, the client notices - 04
Fault calls land on personal phones
“DB tripping at our Tuas plant” reaches a supervisor’s own WhatsApp. The asset tag, photos and urgency get chased one call at a time.
45 min to dispatch - 05
Claims go out with gaps
The claim pack is missing a signed DO or a test sheet. The main contractor sends it back and certification slips a cycle.
Cash a month late - 06
Nobody is sure which revision is current
Site works from rev A while rev C was approved last week. Invoices, DOs and drawings are spread across email, drives and phones.
15–30 min per search
Project lifecycle
Twelve stages. One thread from RFQ to handover.
Drawn like a single-line diagram: three bus sections, twelve feeders. Switch between today and with the system, then pick a stage.
8 of 12 stages depend on someone remembering, retyping or phoning.
RFQ emails land in a shared inbox with three PDFs. The due date lives in someone’s head.
Logged in the RFQ desk within minutes. BOQ extracted with page references, estimator assigned, due-date clock started.
Bid or no-bid is the director’s call.

WhatsApp bot
Ask it anything. In any language.
Runs on your WhatsApp Business number, with a team inbox for handover. Every answer shows its source, and nothing is sent without a person approving it.
What the system did
Nothing yet. Send a message on the phone and the actions show up here as they happen.
Workflow automations
The paperwork that runs itself.
n8n workflows for RFQs, supplier invoices, FAT packs, service calls and the morning brief. Pick one and watch it run.
Reads every RFQ and its attachments, extracts the BOQ with page references, prices it from past jobs and puts a draft quotation in front of the estimator.
- Press Execute workflow to run it with sample data. Click any node to see what it does.
Hermes AI agents
Digital staff that ask first.
Hermes agents run on your own dedicated server around the clock. They read, draft and chase. Prices, sends and sign-offs wait for a person.
Reads every RFQ, drafts the BOQ and finds what you charged last time. The estimator owns the price..
Press Run this agent to watch one of its runs. It will stop and ask you before anything goes out.

Before / after
What changes, in numbers.
Illustrative targets for a 60 to 80 person E&I contractor. We measure your real baseline in the first two weeks.
Illustrative estimates based on comparable builds. Your numbers depend on volumes and the workflows we automate first.
Rollout
How we would roll this out.
We start with one department and the workflow that costs you the most, prove it works, then expand. Nothing goes live without your sign-off.
- Week 1–201
Map the RFQ and invoice flow
We sit with your estimators and accounts, collect 20 past RFQs and 200 supplier invoices, and agree in writing what the AI may do alone.
- Week 3–502
Sales desk live
RFQ reader, BOQ extraction, past-price search and the quote approval flow. Estimators run live RFQs side by side with the old way.
- Week 6–803
Shop floor and service
Production tracker, BOM-to-DO matching, FAT packs and the WhatsApp service line with team-inbox handover.
- Ongoing04
Run and expand
Claims readiness, drawing control and the owner’s brief. A monthly review of what the agents did and what they asked you.
FAQ
Questions owners ask us.
Will the AI price our quotes?+
No. It extracts quantities and shows what you charged on similar jobs. Your estimator sets every quantity and rate, and a director approves before anything goes out.
Can the owner and the team use it in their own language?+
Yes. The morning brief and 2nd Brain answers come in whichever language you pick: English, Mandarin, Malay or Tamil. Staff can send voice notes in their own language, including Bengali and Burmese, and the system files everything in English.
Which WhatsApp does the bot use?+
An official WhatsApp Business number, with a team inbox so any staff member can take over a chat. When a person takes over, the bot stops replying. We do not use unofficial WhatsApp Web connections.
Does it touch payments, payroll or LEW sign-offs?+
No. Payments, payroll and engineering sign-offs stay with your people and your systems. The agents read, draft and remind. Electrical authorisations and safety sign-offs stay with licensed professionals.
Where does our data live?+
On a dedicated server set up for you, with your drawings, quotes and notes kept as plain files you own. Each role only sees what it should, in line with PDPA.
We already use Excel and Xero. Do we have to switch?+
No. We connect to what you have: Outlook, your estimating workbooks, Xero, your project drives and your HR export. The dashboard sits on top.
